How refunds work on GSTFiler.
Short version: subscription fees are non-refundable once paid. Duplicate charges and verified technical failures are the two exceptions, and they get resolved fast.
GSTFiler is a digital subscription service. Like most SaaS products in India, our default position is that fees, once paid, are not refundable — you can read the reasons for that and the narrow exceptions below.
01Scope
This Refund Policy applies to all payments made to Octet Logic OPC Private Limited for use of GSTFiler — the GST compliance platform available at
www.gstfiler.comandapp.gstfiler.com(the “Service”). It covers monthly and annual subscriptions, additional-GSTIN add-ons, one-time setup and migration fees, and any other paid feature you purchase from us.GSTFiler is an entirely digital service. There are no physical goods, no shipping and no delivery window. Access to the Service begins the moment your payment is captured by our payment gateway.
This Policy forms part of the Terms of Use. Where this Policy and the Terms cover the same subject, this Policy controls for refund matters.
02All purchases are final
All payments to GSTFiler are non-refundable once successfully processed. This includes:
- Subscription fees — monthly or annual, paid in advance, for any plan;
- Additional-GSTIN add-ons — once activated against your workspace;
- Setup, onboarding, migration and training fees — once the corresponding work has begun;
- Top-up packs or credits, if and when offered — once activated;
- Renewals — including renewals that you did not affirmatively cancel before the renewal date.
We do not offer partial or pro-rata refunds for unused time within a billing period, for users who stop using the Service mid-period, for downgrades, or for changes in your business circumstances.
03Free trial
New customers may be offered a one-time free trial. No payment is taken during the trial, and we do not automatically convert a trial into a paid subscription — you choose whether to pay at the end of the trial. Because no money changes hands during a trial, no refund question arises.
04Limited exceptions
The two situations in which we will consider a refund are:
- Duplicate or erroneous charge. You were charged more than once for the same billing period, charged for a plan you did not select, or charged after a verified cancellation. On confirming the error we refund the disputed amount in full.
- Verified technical failure preventing access. A bug or outage on our side prevents you from using the core filing feature you paid for, the issue is not caused by the GSTN, NIC, your network, your browser or your input, we are unable to fix it within a reasonable time after you report it, and as a result you cannot reasonably use the Service for the affected period.
Outside these two situations — in particular, refunds will not be issued for: a change of mind, a competitor offering a lower price, returns rejected at the GSTN for reasons attributable to your data, GSTN downtime or rate-limits, missed due dates where the Service was available, dissatisfaction with a feature that performs as documented, or unauthorised use of your account by a person you invited.
05How to request a refund
To request a refund under clause 4, write to support@octetlogictech.com within seven (7) calendar days of the disputed charge. Requests received after this window are time-barred and will not be entertained.
Please include:
- the email address registered with your GSTFiler account;
- the GSTIN of the workspace concerned;
- the Razorpay transaction reference or invoice number;
- the date and amount of the charge;
- a brief description of why you are requesting a refund, with screenshots or other supporting evidence.
We acknowledge refund requests within 2 working days and decide within 7 working days of receiving the information needed to assess the request. Our decision is communicated to you in writing by email.
06How approved refunds are processed
Approved refunds are returned to the original payment method through our payment gateway, Razorpay. Refunds to UPI typically appear within 2–3 working days; credit/debit-card refunds typically appear within 5–7 working days; net-banking and wallet refunds typically appear within 7–14 working days. These windows are set by the issuing bank or wallet; we do not control them.
GST reversal. Because GSTFiler is a registered taxable supply, any refund triggers a corresponding credit note under the CGST Act, 2017. We issue the credit note for the value of the refund plus the GST originally charged on it, and report it in our GSTR-1 for the relevant period. You should reverse the input-tax-credit you claimed against the original invoice (if any) when the credit note appears in your GSTR-2B. We will send you a copy of the credit note by email.
We do not process refunds in cash, by cheque, or to a payment instrument different from the one used for the original payment.
07Chargebacks and bank disputes
If you believe you have been charged incorrectly, please contact us first at support@octetlogictech.com before raising a chargeback or dispute with your bank or card issuer. Most disputes are resolved within 7 working days once we have the facts.
Initiating a chargeback without first contacting us — or after we have offered a resolution that would have made you whole — may result in: (a) immediate suspension of your account pending the chargeback decision; (b) recovery from you of any chargeback fee passed on by Razorpay, the card network or your issuing bank; and (c) termination of your subscription at our discretion. None of this is intended to deter genuine disputes — it exists so that we have a chance to investigate before a third-party process is triggered.
08Changes to this Policy, and how to contact us
We may amend this Policy from time to time. The current version is always published at
www.gstfiler.com/refunds. Material changes will be notified to active customers by email or in-app banner at least 15 days before they take effect; changes do not apply retrospectively to refund requests already submitted.For any refund question, write to support@octetlogictech.com or call +91 98490 11005. Nothing in this Policy limits any consumer right that you have under applicable law and that cannot be contracted away.
